Convert Word, Excel and PowerPoint to PDF online: preparation checklist

Office-to-PDF conversion works best when the source file is clean, complete and ready for sharing.

PDF is often the safest format for sharing final documents because it opens on most devices and preserves a stable view. PDFio provides public tools for Word to PDF, Excel to PDF and PowerPoint to PDF.

Before converting Word documents

Check margins, headers, footers, page breaks, images and fonts. If a document uses unusual fonts, review the PDF carefully after conversion. For official letters or reports, confirm that signatures and tables appear in the expected positions.

Before converting Excel spreadsheets

Excel files need special attention because wide sheets can overflow. Set print area, orientation and scaling in the spreadsheet before conversion whenever possible. Review every page of the PDF output, especially tables with many columns.

Before converting PowerPoint presentations

Slides usually convert well, but embedded videos, animations and transitions do not behave the same way in a static PDF. Use PDF output for handouts, records and sharing, not for interactive slide behavior.

After conversion

  1. Open the PDF and check the first, middle and last pages.
  2. Use Compress PDF if the output is too large.
  3. Use Protect PDF if you need a password-protected copy.
  4. Use Merge PDFs if the output must be combined with annexures.

For highly formatted professional files, always keep the original Office file and treat the PDF as the sharing copy.
